7.2 Effective Leadership

Idyllic Institute of Management strongly believes in the delegation of authority to foster effective leadership and create a positive learning atmosphere for all stakeholders. Throughout the year, the institution engages in numerous activities that involve collaborative efforts across various bodies, cultivating an environment where stakeholders actively participate in decision-making and execution.

A robust feedback mechanism is in place to assess the outcomes of events and implement necessary corrective measures, ensuring continuous improvement in qualitative performance. The effective collaboration from top management to staff reflects successful leadership and a commitment to decentralization.

The ICON EDUCATION SOCIETY, along with the governing body of the institution, collaborates to develop and execute significant events, such as the Kurukshetra International Case Studies Competition, International Magisterium, National and International Conference, and various sports events like the Idyllic Premier League, Pro Kabaddi and Vibrant football and Volleyball Tournaments.

As per the Organisational Structure, Governing Body is the highest authority comprising Chairman, Management Representative and Nominee from the Affiliating University DAVV, Academicians and Industry Experts. IQAC is the policy making body for Academic, Admission, Administration and Finance. The Organisational Structure supports to effective leadership through involvement of stakeholders in various Councils, Committees, Clubs and Cells. For operational smoothness, there are number of committees to carry-out numerous tasks. The Committees meets on regular basis and take the decision and adopt corrective measures as per the issue/ agenda raised. All are in tune to comply the necessary action as per the recognising bodies and affiliating university.

The Administrative functions of the Institution are performed under the leadership of Executive Director and academic under the Director and Dean. Delegation of Administrative and financial power is given to the Directors, Principals, HoDs and Various head of the committees as per the responsibility. All the staff is recruited as per the guidelines and SOP. UGC Norms and the College Code 28 of the Affiliating University DAVV are the parameters for the selection of the faculties.

  1. Adequate Representation of Stakeholders in Decision Making: Stakeholder representation is an integral part to decision-making processes, clearly illustrated by the democratic structure of the institution properly elaborated in the governance and institutional development plan. The governance structure comprises diverse institutional bodies that include students, faculty, administration, management, parents and other stakeholders as per the directives of affiliating university and internal management.
  2. Delegation of Administrative Power: Through various Institutional policies and committees, institution executing effective working and state responsibility for the day to day operations. College Development Council plays a major role for augmentation and maintenance of infrastructure with due consultation with Principal, Directors and Chairman. The internal administration committee looks into all the matters related to operational activities as well as special events. A clear and specific job description encourage to perform the duties in proper manner with harmony.
  3. Delegation of Financial Power: Financial Power is vested in the higher ups of the Institution including Directors, Principals, Executive Director, HODs and Finance Officer/ Accounts Head with duly approved budget sanctioned by the IQAC and Chairman of the Governing Body. Further, the process of fund mobilization as commence as per the requirement of student council/ event organizing committee for operational events. In case of day to day expenses and administrative expenditure related to the institution is taking care by Principal/ Executive Director, Administration. IQAC is responsible to assess the requirement raised by all the departments and after preparing the budget get approved by Chairman of the Governing Body. College Development Council take cares the infrastructure expenditure along with augmentation/ maintenance expenditure.
  4. Effective Feedback System: An Effective Feedback System is transmitted in the operational activities such as academics, administration and policies. After every event, a post event meeting is organized to know about the variances if any and further improvement. Proper feedback received from the various stakeholders analysed and corrective measures are taken as per the suggestions and deviation if any. Suggestions from the outsiders are welcome and discuss with the management if it require the intervention of higher authorities.
  5. Inclusion and Diversity in Leadership: Our Institution firmly believes in gender equality most of the designations are hold by the woman and the various committee constituted include the different cadres from top to bottom. All the committees, cells, councils provide equal opportunities to participate to all the students, administrative staff, academic and non- academic staff. In any single event top management to housekeeping, security guards, drivers, conductors all are involved and the success of the event lies upon the contribution of class I to class IV employees.

The active involvement of faculty, marked by dedication and compassion, plays a key role in shaping the future of students and driving National Youth Empowerment. Their contributions foster responsibility among young minds and resonate with the universal message of “वसुधैव कुटुंबकम”—the world is one family—promoting inclusivity and unity. By leveraging the strengths of all participants, the institution cultivates continuous improvement and fostering a more empathetic and empowered society.

As per the above diagram, the Effective Leadership is the key aspect behind the success of every event of Idyllic Institute of Management including Governing Body as the mentor, IQAC, the Chairman of the Institution, Director, Principal, Teaching and Non-teaching Staff, Students, Alumni and other Stakeholders beautifully execute the assigned work and contribute to make the Institute as Institute of Global Excellence.

HOW AN EVENT FLOWS FROM PLANNING TO
EXECUTION IN THE INSTITUTION,
CAN BE UNDERSTOOD THROUGH THE FOLLOWING PROCESS

  1. The planning for any event begins 3 months prior. The schedule date of event as mentioned in the Academic Planner.
  2. The Skill Development Cell (SDC) organizes a meeting with all student bodies, including student council and clubs, to discuss the event’s organization, allocate student and faculty responsibilities and draft an initial budget for this international event.
  3. SDC Coordinators allocate duties to the student council and concerned clubs to assess requirements and pre requisites and share it with to the concerned faculties for necessary arrangements.
  4. Afterwards the student council start their preparation and create content related to the brochure, invite and other competition related rules, prizes, awards etc. and submit it with tentative budget to SDC.
  5. The proposed budget received from the student bodies the SDC prepares a final draft of the budget in association with industry profession, faculties and administrative staff forwarded to the Principal for review and updation.
  6. After the proper examination, Principal forward this budget to IQAC for the approval and sanctioning of the fund, IQAC with proper consultation with stakeholders approves it with necessary changes if any and returned to the Principal.
  7. Further the specific duties allocated to faculty member and non-teaching staff through the proper duty chart.
  8. The SDC finalize further responsibilities of student OC members with due consultation of Principal.
  9. The Career Development Cell is responsible to connect with Industry Professionals for the judgements and as a guest and special guest. Vice Chancellors of different universities and senior academicians and Industry Owners, Deputy Managers or Higher Designated Professionals from MSME, IMA and FICCI are invited for the event.
  10. The administrative committee is responsible to take care about the venue, meals and transportation for the participants, students and guests. The venue is further decorated as per the requirement with proper sound system and beautification as per the theme and campus layout.
  11. The Principal share the financial requirements with the Internal Finance and Audit Committee to allocate the proper fund sanctioned by the IQAC.

 All the faculty members and students contribute to the registration, smooth conduction of events along with the judgement sheets, final results, brochure and poster preparation, certificate writing, trophies and mementoes. Alumni associated with the Institution assist in invite judges and further arrangements if asked.
